What AI can do in the bid process
| Step | What AI can do | What you do |
|---|---|---|
| Find | Search thousands of notices and rank them by fit with your profile | Pick the ones to pursue |
| Assess | Summarise the tender, flag requirements you don't meet, show the buyer's history | Decide to bid or not |
| Requirements | List every mandatory requirement, attachment and question, with page references | Check the list |
| Write | Draft each answer from your document bank and earlier bids | Review, correct and add what is new |
| Check | Compare the bid with the requirement list and flag gaps | Submit |
ChatGPT and Copilot or a bid tool?
General assistants such as ChatGPT, Claude, Gemini and Microsoft Copilot are good at rewording text and summarising a section. For a whole bid they fall short: they only read what you paste in, they don't know your references, they don't check themselves against the source, and consumer versions may train on what you type.
A tool built for bids reads the whole tender, works from a requirement list, pulls answers from your own documents and shows the source of each claim.
Risks and rules
- You are responsible. LOU does not ban AI in bids, but you declare that the information is true, often in the ESPD.
- Invented facts. Language models can make up names, figures and certifications. Require a source for every claim.
- Confidentiality. Your prices and earlier bids are not public. Use tools that store data in the EU and don't train on it.
Checklist for choosing an AI bid tool
- Does it read the whole tender, including attachments, spreadsheets and Q&A?
- Does it list every mandatory requirement with a reference?
- Are answers built from your own documents, with sources shown?
- Are gaps flagged instead of filled with invented text?
- Where is your data stored, and is it used for training?
- Can the bid be exported to Word in the buyer's format?
How Falkview works
Falkview is a Swedish AI tendering platform for companies bidding on public tenders. It collects tenders from TED, Mercell and Kommers Annons, scores each one against your company profile, builds a requirement list from the whole tender and drafts a first bid for you to review. Every figure, date, standard and name is checked against the source document, and anything no source supports becomes a flagged gap. Your documents are stored in Sweden (Google Cloud) and never used to train AI models. The price is set by how many bids you submit, see pricing.
Frequently asked questions
- Is it allowed to use AI to write a bid?
- Yes. LOU does not ban AI, but the company is responsible for everything in the bid being true.
- Can ChatGPT write a bid for a Swedish tender?
- It can draft text, but only reads what you paste in and does not know your references, so mandatory requirements can be missed and facts invented. A tool built for bids reads the whole tender and shows the source of each answer.
